Your use of the National Sports ID website and services is also governed by our Terms of Service, which outline the rules, conditions, and legal agreements applicable to the use of the platform.

1. Information Collected & How It’s Used

We collect two general types of information, “Non-Personally Identifiable Information” and “Personally Identifiable Information.” We collect this information generally to allow teams and players to utilize our services and functionality and to improve our website. We also collect Personally Identifiable Information from applicants for coaching positions in order to conduct background checks on them.

a. Non-Personally Identifiable Information

When you visit our website, we may collect some basic Non-Personally Identifiable Information about you. We collect non-personally identifiable information about you in a number of ways, including tracking general site usage such as browser type, device type, computer settings, or most-recently visited URL. We may also ask you to provide certain non-personally identifiable information about yourself, such as your age, household income, buying preferences, etc.

Non-Personally Identifiable Information is collected in order to provide you with satisfactory service and to improve our website. We may use the information to detect problems with our server and to administer our site. In addition, Non-Personally Identifiable Information is compiled by us and analyzed on an aggregate basis.

Non-Person­ally Identifiable Information does not include any data linked to a registered account or user identity.

b. Personally Identifiable Information

We do not collect any Personally Identifiable Information about you unless you voluntarily submit such information to us, by, for example, registering for an account or other products or services or providing health care information or applying for a coaching position which requires a background check. This information lets us know the specifics of who you are and can be used to identify, contact, or locate you or to confirm your eligibility to participate in an event or to qualify for a coaching position.

Personally, Identifiable Information may consist of: your name, address, telephone number, email address, birth date, billing information (credit card number, expiration date, and billing address and bank account information submitted for ACH payments), grade, team name, products purchased, any relevant promotion code, and information (for example, reward program account information) birth certificates, passports, state Id, school id, school documents physicals and other personal healthcare information and any other information you may provide us (“Personally Identifiable Information” ). By providing us with Personally Identifiable Information, you consent to our use of that information. Verification documents are securely reviewed by authorized personnel and deleted in accordance with our retention policy. Most documents are not stored after review, and any temporarily retained files are encrypted both in transit and at rest. National Sports ID does not collect biometric information, including facial recognition data, fingerprints, voiceprints, or retina scans.

We use Personally Identifiable Information for internal purposes, such as notifying you, subscription or registration, analyzing trends and statistics, informing you of our new events, services, and offers. We also use Personally Identifiable Information to verify your eligibility for an event. Personally, Identifiable Information is compiled by us and analyzed on both a personal and an aggregated basis.

Personally Identifiable Information may also include IP addresses, device identifiers, persistent identifiers (such as cookies or similar technologies) when linked with an account or other personal data.

To serve you better, we may combine Personally Identifiable Information you give us online or through our catalogs. We may also combine that information with publicly available information about you that we may receive from third parties.

Data Retention and Secure Deletion
Verification documents are securely reviewed by authorized personnel and then securely deleted from our active systems in accordance with our retention policy. Once removed, these files are no longer accessible or retrievable in the ordinary course of business. Limited encrypted backup copies may persist temporarily for system integrity and audit purposes, after which they are automatically purged.

Metadata and Technical Data Retention
We retain Metadata (such as IP addresses, device identifiers, cookies, and usage logs) only for as long as necessary to support internal system operations, security, fraud detection, analytics, and legal compliance. Unless required by law to retain it longer, Metadata is automatically deleted or rendered anonymous within 12 months, after which it is purged from both active systems and backups. Metadata not associated with a registered account or personal information is anonymized or aggregated for statistical purposes.

c. Metadata and Persistent Identifiers

When you visit or interact with the Service, we and our third-party service providers may automatically collect certain technical information such as IP address, device identifiers, browser type, operating system, access times, pages viewed, and similar usage data (“Metadata”). Metadata may be linked with other personal information when you register for an account or log in. Metadata is collected to provide, maintain, secure, and improve the Service, to detect fraud and abuse, and for internal analytics and system administration purposes. By using the Service, you consent to this collection and use. This information is treated in accordance with our Privacy Policy and data retention commitments below. Metadata collected solely for internal operations (such as security, fraud prevention, system integrity, and analytics) is not used for behavioral advertising and is collected in reliance on applicable COPPA exceptions for internal operations where permitted.

2. Use of Cookies/Clear GIFs

When you view our website we might store some information on your computer. This information will be in the form of a “cookie” or similar file. Cookies are small pieces of information stored on your hard drive, not on our site. Cookies do not spy on you or otherwise invade your privacy, and they cannot invade your hard drive and steal information. Rather, they help you navigate a website as easily as possible. We use cookies to deliver content specific to your interests and to prevent you from reentering all your registration data at each connection.

When you click through to our website from a promotional email, our Service Provider may send a cookie to your hard drive recording your IP address and other related information.

Some of our Service Providers may employ clear GIFs (also known as pixel tags, single-pixel GIFs, web beacons, or action tags) for our benefit to help us measure advertising effectiveness.

Clear GIFs help us better manage content on our website by informing us of what content is effective. Clear GIFs are tiny graphics with a unique identifier, similar in function to cookies, and are used to track the online movements of our users.

The main difference between the two is that clear GIFs are invisible on the page and are much smaller, about the size of the period at the end of this sentence. Clear GIFs are not intentionally used to identify individual users, but may be linked to account data in limited circumstances for security, fraud prevention, and internal operations.

Our Service Providers may use clear GIFs: (i) in HTML based emails to determine which emails have been opened by recipients; (ii) to record when products have been ordered from our site; and (iii) to track the visitor traffic on our site.

These clear GIFs allow us to measure the usage of our site by our visitors and the effectiveness of certain communications and marketing campaigns. We may also use clear GIFs in a similar manner in our own emails and on our site. Clear GIFs and cookies help manage and measure site functionality. When linked to an account, this technical information may be treated as Personally Identifiable Information.

Clear GIFs can “work with” existing cookies on a computer if they are both from the same website or advertising company. That means, for example, that if a person visited “www.companyX.com”, which uses an advertising company’s clear GIF, the Web site would match the clear GIFs identifier and the advertising company’s cookie ID number, to show the past online behavior for that computer.

This collected information can be shared with the advertising company. We may provide such information to our Service Providers but that information can only be used by our Service Providers for our benefit.

Cookies and clear GIFs, when linked with a registered account, are treated as metadata and may qualify as Personally Identifiable Information under applicable privacy law.

3. Sale, Trade or Rental of Personally Identifiable Information

We only share Personally Identifiable Information with businesses that help us provide the service we offer on our website. For example our credit card processing company.

We may offer free promotional emails and send promotional direct mail for products and/or services offered on our website as a service to our prior customers. Users may update, correct, or request removal of their information from our records at any time by contacting us at admin@nationalsportsid.com.

That all being said, we will never sell our user’s information to any 3rd party.

4. International Users

If you are located outside of the United States, please be aware that any information you provide will be transferred to us in the United States.

By using our site or providing us with your information, you hereby consent to this transfer. In addition, if you provide data about other individuals (such as gift recipients), you agree that you have obtained consent from each such individual to the submission and processing of such information to the terms of this Policy, including without limitation the transfer of such data to the United States. Although we will collect and use your information only as stated in this Policy, laws generally applicable to the protection of personal data in the United States may not be as stringent as those in some users’ home jurisdictions.
