1. Information Collected & How It’s Used
We collect two general types of information: Non-Personally Identifiable Information and Personally Identifiable Information. We collect this information to allow teams and players to use our services and functionality, to improve our website, and to support platform operations. We also collect Personally Identifiable Information from coaching applicants in order to conduct background checks.
a. Non-Personally Identifiable Information
When you visit our website, we may collect basic Non-Personally Identifiable Information about you. This may include general site usage data such as browser type, device type, computer settings, or the most recently visited URL. We may also ask you to provide certain non-personally identifiable information about yourself, such as age, household income, or buying preferences.
Non-Personally Identifiable Information is collected to provide you with a satisfactory user experience and to improve our website. We may use this information to detect problems with our servers and to administer our site. In addition, this information may be compiled and analyzed on an aggregate basis.
b. Personally Identifiable Information
We do not collect Personally Identifiable Information unless you voluntarily submit such information, for example, by registering for an account, purchasing products or services, providing healthcare information, or applying for a coaching position that requires a background check. This information allows us to identify, contact, or locate you, and to confirm your eligibility to participate in events or qualify for coaching positions.
Personally Identifiable Information may include your name, address, telephone number, email address, date of birth, billing information (such as credit card details and billing address), bank account information submitted for ACH payments, grade, team name, products purchased, promotion codes, reward program information, and verification documents such as birth certificates, passports, state ID, school ID, school records, physicals, and other healthcare-related information. By providing Personally Identifiable Information, you consent to our use of that information.
Verification documents are securely reviewed by authorized personnel and deleted in accordance with our retention policy. Most documents are not stored after review, and any temporarily retained files are encrypted both in transit and at rest. National Sports ID does not collect biometric information, including facial recognition data, fingerprints, voiceprints, or retina scans.
We use Personally Identifiable Information for internal purposes, including account management, subscriptions and registrations, analyzing trends and statistics, notifying you of updates, and informing you about events, services, and offers. We also use this information to verify eligibility for participation. Personally Identifiable Information may be analyzed on both an individual and aggregated basis.
Personally Identifiable Information may also include IP addresses, device identifiers, and persistent identifiers (such as cookies or similar technologies) when linked to an account or other personal data.
To better serve you, we may combine Personally Identifiable Information you provide online with publicly available information obtained from third parties.
Data Retention and Secure Deletion
Verification documents are securely reviewed by authorized personnel and then deleted from our active systems in accordance with our retention policy. Once removed, these files are no longer accessible or retrievable in the ordinary course of business. Limited encrypted backup copies may persist temporarily for system integrity and audit purposes, after which they are automatically purged. Verification documents are not retained longer than necessary unless required by law or league compliance requirements.
Metadata and Technical Data Retention
We retain metadata (such as IP addresses, device identifiers, cookies, and usage logs) only as long as necessary to support system operations, security, fraud detection, analytics, and legal compliance. Unless required by law, metadata is automatically deleted or anonymized within 12 months and removed from both active systems and backups. c. Metadata and Persistent Identifiers

3. Use of Cookies/Clear GIFs
